Terms & Conditions
Effective Date: January 1, 2026 | Last Updated: 2026 | Governing Jurisdiction: State of Connecticut, USA
Please review these Terms and Conditions carefully before contracting or utilizing the commercial cleaning, facility maintenance, floor care, or staffing services provided by VIP Janitorial Services, LLC.
Acceptance of Agreement & Scope
These Terms and Conditions constitute a legally binding agreement between the client (herein referred to as "Client", "Facility Manager", or "You") and VIP Janitorial Services, LLC (herein referred to as "Company", "We", "Us", or "Our"), having its principal place of business at 160 Reed Ave, West Hartford, CT 06110.
By approving a written estimate, executing a commercial service agreement, booking services via our digital platforms (including vip-janitorial.com), or permitting our personnel to begin work on your premises, you acknowledge that you have read, understood, and agree to be bound by all terms set forth herein.
Commercial Services & Work Specifications
VIP Janitorial Services, LLC provides commercial maintenance services strictly defined within each individual written Service Agreement, Work Order, or approved Scope of Work (SOW). Our core specialty solutions include, but are not limited to:
- Commercial floor stripping, waxing, seal application, buffing, and thermal steam scrubbing.
- Turnkey hotel, hospitality, and resort housekeeping staffing solutions.
- Executive daily, weekly, or custom recurring corporate janitorial maintenance.
- Post-construction particulate extraction, window washing, and architectural cleaning.
- Hot-water extraction carpet steaming, shampooing, and spot neutralization.
- Commercial facility move-in / move-out turnover cleanings.
Any services requested beyond the written SOW shall be considered "Extra Work" and will be billed at our standard hourly or square-footage rates upon written or electronic authorization from the Client.
Facility Access, Utilities & Working Conditions
To ensure timely and hospital-grade execution, the Client covenants and agrees to provide the following during all scheduled service windows:
- Unrestricted Safe Access: Fully functional keys, electronic keycards, security codes, or on-site security clearance for our designated crews at the agreed-upon hours.
- Essential Utilities: Continuous access to functioning electricity, hot and cold running water, adequate indoor lighting, and operational HVAC controls required for floor chemical curing and ventilation.
- Surface Clearance: For floor stripping, waxing, and carpet steaming, walkways and floors must be cleared of movable documents, personal valuables, computers, and inventory unless furniture moving is explicitly specified in the written contract.
Scheduling, Lockout Policy & Cancellations
We operate 24 hours a day, 7 days a week, 365 days a year to accommodate night shifts, weekends, and holidays without disrupting commercial operations. Because labor, equipment, and routes are reserved in advance:
- Notice of Rescheduling: The Client must provide at least twenty-four (24) hours' written notice prior to scheduled recurring janitorial visits, and at least forty-eight (48) hours' notice for intensive floor stripping, waxing, or post-construction bookings.
- Lockout & Late Cancellation: If our service crew arrives at the facility and is unable to gain entry due to altered access codes, locked doors, or facility refusal, a lockout fee equivalent to fifty percent (50%) of the scheduled service charge (or a minimum fee of $125.00) will be assessed to offset mobilization costs.
Hotel & Hospitality Staffing Terms
When providing contracted housekeeping, room turnover, and hospitality attendants to hotels, motels, and lodging facilities:
All personnel assigned by VIP Janitorial Services, LLC are our direct employees or vetted subcontractors, covered under our Commercial General Liability and Workers' Compensation policies. The Client agrees not to directly solicit, recruit, hire, or engage any employee or operative introduced by the Company for a period of twelve (12) months following the termination of the staffing agreement without paying an agreed placement fee of $3,500.00 per individual.
Specialty Floor Restorations & Chemical Curing
Commercial floor stripping and waxing requires precise chemical dwell times, stripping dilution, and multi-coat polymer curing:
The Client agrees to strictly enforce traffic restrictions on treated surfaces until our technicians confirm full cure (typically 4 to 8 hours post-application). VIP Janitorial Services, LLC is not liable for scuffs, footprint indentations, moisture blushes, or finish degradation resulting from premature foot or vehicle traffic permitted by the Client prior to authorized curing completion.
Inspection Protocol & Satisfaction Guarantee
We take pride in our motto: "Exceeding expectations from top to bottom." Quality assurance is directed personally under the supervision of Edgar A. Pinto.
If any aspect of our performed work fails to meet the specifications agreed upon in the SOW, the Client must notify us in writing or by telephone at (860) 748-2762 within twenty-four (24) hours of service completion. Upon timely notice, we will dispatch a supervisor or technician to re-clean and rectify the substantiated deficiency at zero additional charge. A failure to inspect or report within 24 hours constitutes full acceptance of the completed service.
Invoicing, Payment Terms & Late Interest
Unless otherwise established in a signed commercial master contract:
- Payment Schedule: One-time projects (floor waxing, post-construction, move-outs) are due upon completion or as specified in the proposal. Recurring commercial contracts are invoiced on the 1st of each calendar month with Net 15 or Net 30 payment terms.
- Late Fees: Outstanding balances past thirty (30) days from invoice date are subject to a monthly service fee of 1.5% (18% per annum) or the maximum rate permissible by Connecticut law, along with reasonable attorney and collection fees incurred to recover delinquent balances.
Insurance, Indemnification & Limitation of Liability
VIP Janitorial Services, LLC maintains full statutory Workers' Compensation and Commercial General Liability Insurance compliant with Connecticut state guidelines.
To the fullest extent permitted by applicable law, our aggregate liability arising out of or related to any single incident or breach of contract—whether in contract, tort (including negligence), or otherwise—shall not exceed the total fees paid by the Client to the Company for the specific service call giving rise to the claim. We shall under no circumstances be liable for incidental, indirect, punitive, or consequential damages, including loss of revenue or commercial downtime.
Governing Law & Legal Dispute Resolution
These Terms and Conditions, and any disputes arising from our services, shall be governed by, construed, and enforced in accordance with the laws of the State of Connecticut, without regard to its conflict of law principles. Any legal action or proceeding arising under this agreement shall be brought exclusively in the state or federal courts located in Hartford County, Connecticut.
